How It Works

The Process

How the JSM Docent Program Works

We've kept everything as simple as possible so you can focus on what matters — being welcoming and enjoying JSM.

Before JSM

Step 1: Sign Up Online

Fill out our short volunteer form with your name, email, and a bit about yourself.

This helps us understand who our docent team is so we can let first-time attendees know the kinds of people who will be available to help them. For example, a newcomer interested in biostatistics would love to know there's a docent who specializes in that area.

You'll receive a confirmation email with everything you need to know before the conference, including where to pick up your docent kit and when the first-time orientation is scheduled.

Your Docent Kit Includes

🎗️  A docent ribbon that attaches to your name badge

📌  A docent button you can wear on your shirt or lanyard

📄  A small tip card with suggestions for how to help newcomers

When you arrive at registration, let the desk know you signed up as a docent. They'll have your kit ready and waiting.

The ribbon and button serve a simple but important purpose: they make you visible. First-time attendees will be told to look for people wearing these identifiers when they need help or just want to meet someone friendly.

Wear them throughout JSM — during sessions, at poster presentations, during meals, and at social events. The more visible our docents are, the easier it is for newcomers to feel comfortable reaching out.

Your One Commitment

Step 3: If you are Available Attend the Orientation

The First-Time Attendee Orientation is on Sunday before the formal program begins. It's designed to help newcomers get their bearings and start building connections.

As a docent, your role at the orientation is simply to be there and be approachable. You'll have a chance to introduce yourself, share a quick tip or two about the conference, and meet the newcomers face-to-face.

This personal connection early on is incredibly valuable. When a first-timer sees you later in the hallway, they'll already have a familiar face they can approach — and that makes all the difference.

The Rest of JSM

After That? Just Be You.

There are no additional meetings, no check-ins, no reports to file. Here's what being a docent looks like day-to-day:

Go About Your JSM

Attend the sessions you planned to attend. Go to the social events you want. Your schedule is entirely your own.

Be Open to Questions

If someone approaches you, be friendly and helpful. Questions might range from "where's Room 204?" to "which session do you recommend?"

Include Newcomers

If you see someone eating alone or looking lost, consider saying hello. Sometimes an invitation to sit together means the world.

Make Connections

If you can introduce a newcomer to someone who shares their interests, that's a wonderful bonus — but it's not required.

Remember: You don't need to have all the answers. Pointing someone toward the registration desk, the conference app, or another attendee is a perfectly helpful response.
